Ogilvy is seeking an experienced HR professional to join our Washington DC office as an HR Coordinator.
Reporting to the HR Director and working closely with the HR Manager, the HR Coordinator will play an essential role in ensuring smooth operations for the HR team and DC employees. Candidates should have an interest in learning the discipline of Human Resources while gaining valuable experience in the HR profession. This position requires discretion, good judgment and a high degree of confidentiality. The HR Coordinator will work with employees at all levels within the agency, requiring a solid communication skills and a professional demeanor. This opportunity is ideal for an experienced HR or Recruiting Assistant who is ready to advance to the next step in their HR career.
The HR Coordinator supports or manages administrative, onboarding, training and recruiting activities as follows:
*Manages all administrative processes for the office, including new hire, status change and termination processes.
*Recruits for junior-level positions by posting jobs, reviewing resumes, conducting telephone interviews, shepherding candidates through the interview process, preparing offer letters, and processing background checks.
*Works closely with our finance team and hiring managers to fill open jobs.
*Builds and maintains effective working relationships with HR partners in specialist disciplines at our corporate office to include Benefits, Payroll and HRIS. Has frequent contact with these colleagues.
*Coordinates the orientation and onboarding process to include preparing new hire packets, sending pre-hire notifications, presenting at new hire orientation, processing paperwork and ensuring workspace setups.
*Manages a robust and highly selective summer intern program running from January to August. Serves as the HR resource for PR interns during the summer.
*Supports the execution of training programs by coordinating set up, scheduling presenters and trainers, and tracking participation.
*Obtains or runs a variety of reports at the request of the HR Director, Finance Director or Office Head.
*Ensures office-wide compliance with mandatory online policy acknowledgements and training with regular reminders and follow up.
*Becomes fully fluent in and maximizes a variety of HR systems and tools.
*Other responsibilities as required.
*At least 1 year of experience working in an HR department.
*Proven ability to effectively manage administrative processes and tasks in a timely and organized fashion.
*Demonstrates a strong sense of ownership and urgency for job responsibilities. Has a proven ability to work on assigned tasks and projects with minimal direction and supervision.
*Able to be productive, maintain composure and meet deadlines in a fast-paced environment.
*Strong verbal and written communication skills; exercises good judgment in use of various communication channels (email, phone, in-person) and is equally effective with each channel.
*Proven ability to form and maintain effective working relationships with employees, managers and company leadership. Exhibits a professional demeanor in all interactions.
*Demonstrates discretion and tact in working with confidential information.
*Is able to be action-oriented and perform well in an unstructured or ambiguous environment.
*Willingness and ability to work extended hours as necessary. Is a collaborative team member who readily performs tasks outside of his or her primary set of responsibilities in order to meet team goals.
*Bachelor’s degree required.
