Overview

The Lacek Group (TLG), a specialty agency of Ogilvy & Mather, is a fast-growing customer engagement agency.  We work at the intersection of brands, data, and creativity to help industry-leading companies build and strengthen relationships with their best customers.  We have an immediate need to add talent to our agency support team.

 

We are growing and eager to add a temporary Office Administrator to our high-performing administrative team.  As an office administrator you will provide clerical and administrative support to our staff through efficient and courteous phone assistance, presentation/written communication support, and general administrative and office projects.  Your flexibility, discretion, attention to detail, and willingness to be a team player will contribute to your success in this role.  This is a three-month initial engagement with the plan to turn full-time in the new year.

Responsibilities

  • Work collaboratively with Office Admin, HR and Finance teams
  • Answer, screen and transfer inbound phone calls as a receptionist back-up
  • Assist with meeting and travel accommodations for staff members and guests
  • Manage expense reports for staff members
  • Schedule candidates for job interviews, proactively anticipating challenges and conflicting priorities
  • Maintain records and filing for audit compliance
  • Maintain office and break room supply inventories
  • Support agency social activities and meetings with logistical and practical assistance
  • Provide support to the Admin, HR and Finance teams as needed
  • Other duties as assigned may include: supporting recruitment efforts by posting job advertisements, conducting reference checks, dispositioning job candidates, assisting with audits, prepare new hire paperwork and provide employee onboarding set-up support

Qualifications

  • Two years experience as an office administrator, HR administrator or office assistant, preferably in a setting where confidentiality and discretion are required
  • Outstanding communication, interpersonal relationship and decision-making abilities
  • High school diploma is required; post-secondary education is preferred
  • Strong PC skills, including expertise with MS Office software
  • Thorough knowledge of general office practices
  • Ability to lift up to 40 pounds occasionally
