Overview

The Traffic Coordinator facilitates moving jobs from inception to production, effectively tracking the stage, location, and financial management of each project.  Ensures all SOX and regulatory compliance project materials and documentation are secure throughout the duration of the project.

Responsibilities

Print Project Management:

  • For projects assigned, successfully deliver program elements from inception through production, on time and within budget
  • Move jobs through internal routing, and create job jackets/folders for routing, and track the stages, location, and priorities for each project – ability to learn a new online routing platform
  • Oversee the resolution of potential bottlenecks with the copy, editorial, and strategic direction areas
  • Ensure that new jobs are opened, and work with the
  • Business Manager to ensure that they are entered into the appropriate accounting system
  • Update and distribution list of active job numbers weekly to staff
  • Attend status meetings and run weekly hot sheet meetings
  • Package and submit all creative files and corresponding mandatory legal, medical and regulatory documentation into the digital system (EOS) for regulatory review and approval

Financial Management:

  • Monitor OOP budgets weekly, document financial status on weekly status reports, and notify appropriate departments of potential budget issues
  • Twice each month, print labor and OOP detail reports, review reports, and report any overages to Program Manager for discussion at status meetings
  • Request and reconcile final billing of projects, in accordance with agency workflow
  • Participate in budget development for traffic portion
  • Attend monthly finance meetings with Account Management, PM and Finance

Time Management:

  • Ensure that all project materials are routed to appropriate team members in an orderly and timely manner
  • Meet with Account Team and PM to review status and/or resolve any questions or issues
  • Facilitate scheduling kickoff, run-through, status, and wrap-up meetings in order to provide internal teams with necessary support and direction

Problem Solving

  • Identify and discuss potential problems with Account Team regarding timing on project deliverables
  • Accountable for delivering assigned projects on time and within budget

Qualifications

  • Bachelor's degree in related field, or equivalent combination of education and experience
  • Strong computer skills (MS Word, Excel, Outlook, Access, PowerPoint) 
  • Strong Interpersonal and communication skills
  • Strong organizational skills and attention to detail
