    The Lacek Group (TLG), a specialty agency of Ogilvy & Mather, is a fast-growing customer engagement agency.  We work at the intersection of brands, data, and creativity to help industry-leading companies build and strengthen relationships with their best customers.  We have an immediate need to add talent to our agency support team.

     

    We are growing and eager to add an Office Manager/Executive Assistant to our high-performing administrative team.  In this role, you’ll manage administrative support staff and maintain facilities to ensure a positive and productive work environment for our entire staff. This is initially a temporary position with the plan to convert to full-time after three months.

    Responsibilities

    • Represent the agency to employees and visitors with a consistently positive demeanor and calm professionalism
    • Manage administrative details and projects for executive staff members, including preparation of expense reports and PowerPoint presentations
    • Co-lead agency social activities with logistical and practical assistance
    • Hire, train and supervise Administrative team; manage performance to agency expectations
    • Work collaboratively with Office Admin, HR, Finance teams and Executive staff while also able to work independently
    • Work with a cross functional team of leaders and vendors on major facilities projects
    • Coordinate meeting and travel accommodations for staff members and guests
    • Maintain records and filing for audit compliance
    • Manage costs, contracts and working relationships with security, office and kitchen supply vendors
    • Oversee office and breakroom supply inventories
    • Provide additional support to the Admin, Finance and HR teams as needed

    Qualifications

    • High school diploma
    • 7+ years of experience in an administrative or facilities position
    • Demonstrated commitment to leadership and motivating others
    • A proven self-starter who holds to high work standards
    • Display a strict commitment to confidentiality and strong attention to detail
    • Proven ability to work with executive team members
    • Outstanding communication, interpersonal relationship and decision-making abilities
    • Demonstrated ability to prioritize many job duties and changing priorities
    • Able to adapt to change and foster “can do” attitude with other staff members
    • Good follow-up practices to insure final outcomes
    • Ability to problem solve, with a “fix it before it’s broken” mentality
    • Willingness to delegate responsibility to staff to insure team success
    • Thorough knowledge of general office practices
    • Strong PC skills, including expertise with MS Office software
    • Ability to lift up to 40 pounds occasionally
