The San Francisco office of agencies Ogilvy & J. Walter Thompson, seeks a service-oriented Office Coordinator to support a busy 85+ person office. This is an exciting opportunity to play an important role in representing the companies, supporting the operations of the business and work in a creative environment.
Greets clients, visitors and guests in a professional manner in person and over the phone
Sorts and distributes all incoming mail and handles all outgoing mail, shipping and messenger services
Tracks inventory and orders office /kitchen supplies as needed
Maintains conference room schedule for office
Coordinates and sets up catering and/or supplies for client and staff meetings
Keeps conference rooms and office kitchen stocked, clean and organized
Maintains and updates SF office seating chart
Liasion with Building Mgmt / Facilities on all building needs/issues, updates, and
Helps coordinate logistics for office parties, all-staff meetings, special trainings
Assists with special projects and as needed assists either agency's Executive Team with administrative support.
1+ years of administrative experience
Excellent customer service skills and ability to interact in a professional manner
with clients, vendors and staff
Ability to multi-task and reprioritize effectively
Acute attention to detail
Must be a strong cultural radiator with a positive, mature and professional style
Strong communication skills and desire to take pride and ownership of their work
Exceptional organizational skills required along with the ability to independently.
Proficiency in Microsoft Office including PowerPoint and Excel
Outstanding written and verbal communication skills as well as strong
Some college education is preferred.
